WNA Position Descriptions

Chairperson:

  • Receive and sort mail, notify appropriate sub-committees of pertinent information
  • Put items of interest to the general meeting attendants in the binder for general review
  • Delegate tasks for special events/projects to coordinators and others this involves telephoning or emailing
  • Stay in touch with committee chairs re: current issues, meetings, etc.
  • Email board members requesting agenda items 2 weeks in advance of general meeting or board meeting
  • Check with SEUL, Multnomah County Library – Woodstock Branch, Police contact, Reed College regarding need for time on agenda
  • Set agenda for meeting adding all parties responding to request for time on agenda, prepare/type
  • Copy agenda at UPS prior to meeting, distribute at meeting
  • Forward prepared agenda to web person
  • Call board meetings when necessary
  • Share facilitating of monthly meeting with vice-chair when necessary
  • Keep meetings, general or board, on track and on topic. Begin and end on time.
  • Maintain good relationships with WNA board members, other neighborhood associations, city and county agencies and the community at large (SEUL, Metro, and others)
  • Serve at booth (or other) for picnic, Woodstock festival, and other events
  • Help hang flyers and other activities on an as need basis
  • Show up for meeting early to help set up tables and chairs, help shut down
  • Delegate tasks for special events/projects to coordinators and others this involves telephoning or emailing
  • Stay in touch with committee chairs re: current issues, meetings, etc.
  • Set agenda for meeting, typing it up
  • Share facilitating of monthly meeting with vice-chair when necessary
  • Maintain good relationships with WNA board members, other neighborhood associations, city and county agencies and the community at large

Vice Chairperson:

  • Help with or assume any of the above duties of the chairperson when necessary
  • Share facilitation of meeting when necessary or as desired by the chairperson

Secretary:

  • Write up minutes of monthly meetings; send them out e-mail for review and as reminders of actions needed to be taken; read or make them available at monthly meeting.
  • Write up minutes of board meetings and follow same procedure as for monthly meetings.
  • When appropriate and needed write letters using WNA letterhead for issues and events related to WNA.

Treasurer:

The treasurer is responsible for managing the neighborhood association’s financial matters, including banking, cash management, budgeting, and financial reporting. Specifically, the treasurer is responsible for:

  • Maintaining all financial records for the WNA
  • Reconciling bank accounts monthly and managing accounts throughout the month
  • Providing monthly financial reports to the general membership
  • Preparing two annual reports required by the state of Oregon
  • Providing other financial information as requested by the Board
  • Coordinating the WNA’s annual budget process, if necessary
  • Administering the WNA’s financial policies and procedures as approved by the Board
  • Managing grants and other gifts or bequests to the WNA

SE Uplift Delegate:

The SE Uplift delegate is the representative for Woodstock on the SE Uplift Board of Directors. The SE Uplift Board of Director's governs the coalition and helps develop policy for the coalition. Additionally the delegate shall:

  • Attend SEUL board meetings
  • Keep in touch with SEUL events and issues
  • Report back to the general meetings

Land use chairperson:

  • Receives land use notices from the City of Portland and shares them with other members of the Land Use Committee (LUC)
  • Follows-up on land use cases when any member of the LUC deems this necessary or when contacted by neighbors concerned about a land use case.
  • Responds to notices from the City when the LUC (comprised of at least three members) can agree on a response. Report on any such response at the earliest possible WNA meeting.
  • Reports on any cases of significance to the WNA.
  • Attempts to recruit a delegate to the SEUL Land Use and Transportation Committee.

Newsletter producer/editor:

  • Produce WNA newsletter

Newsletter distribution coordinator:

  • Organize and recruit neighbors to deliver newsletter

Web site administrator:

  • Manage www.woodstockpdx.org
  • Keep content new and current
  • Create and send monthly emails to WNA list
  • Respond or forward emails from website (info@woodstockpdx.org)
  • Make recommendations to the board regarding website/email

Community Connectors:

  • Keep in touch with neighbors issues in their area
  • Spear-head any special project that suits the interests or talents the area representative
  • Help with newsletter, distribution
  • Come to monthly meetings and board meetings

Volunteer Coordinator

  • Recruit and manage volunteers for events related to the association
  • Arrange and post needs through various channels of communication – Facebook, media, print, email, via communication to webmaster
  • Connect with new visitors who attend the meetings
  • Help involve and inform new members

Public Relations

  • Outreach to our neighbors
  • Outreach to the public at large
  • Utilize technology to spread the word about WNA – facebook, media (print, radio, TV, Craigslist)
  • Help events and connect inquiries to the volunteer coordinator and event volunteers
  • Promote and sustain membership in the WNA
  • Help involve and inform new members
